  • Document is a one-time document workflow that you create by adding fillable documents and forms, setting up a step-by-step workflow, and automating it with the help of Bots. To run multiple workflows with the same settings but different recipients, save your document as a workflow.
  • Workflow is a repeatable document workflow that allows you to run multiple workflows with the same settings by sending documents to different recipients. By making changes to a workflow’s configuration, you create a version.
  • Version represents the current configuration of a workflow. When you publish a new version, its settings will be automatically applied to every subsequent workflow.
  • An Audit Trail is a detailed record of actions applied to the document and logs. This feature is included in each workflow version history.

As soon as you’ve got it set up, you can introduce new changes to your existing workflow without disrupting it. Every time you perform a new action in your workflow, the system automatically creates a new version of it.

But not all actions lead to workflow version creation. Here is a list of actions that can trigger a new version: tweaking documents, changing a workflow diagram, and configuring Bot settings. Additionally, you will have the option of selecting what you would like to do next with each version: You can choose to edit, publish, save, or test it. A new version of a workflow is triggered and created automatically each time you make specific changes to the setup of a published workflow. This process is a part of document version control. Any newly created workflow version won’t get published until you decide so. You can edit, test, and save the unpublished version as a draft. Additionally, you can track the details of the actions in each workflow you’ve set up in the workflow version history.

Not all modifications you apply to your workflow are set to trigger new workflow versions. These include viewing completed documents, running the workflow, and enabling or disabling the Shareable link. Additionally, simply viewing documents or bot settings without making changes also does not trigger new version creation, ensuring stable and uncluttered document workflow automation and management.

As you make a version-triggering change to the documents, workflows, or bots, a new version of your workflow is automatically labeled with the workflow versioning #. When you’re done modifying your workflow, click on the Send as test and check if it works properly. Each version you run a test on will be marked as Test Version #. You can create and test an unlimited number of versions.
